
Satellite Symposium Guidelines
Satellite Symposia are industry-sponsored, CME-certified symposia offered in conjunction with the USCAP Annual Meeting. Medical education companies are invited to submit proposals to conduct a symposium at the USCAP Annual Meeting.
The following guidelines provide important information regarding hosting a satellite symposium at the USCAP Annual Meeting. To apply for a Satellite Symposium slot, companies will need to complete the application form by February 10, 2023. USCAP will review within five (5) business days, and upon approval, medical education companies can submit grants to the indicated supporter(s).

Satellite Symposia must offer AMA PRA Category 1 Credits™. The accredited providers are responsible for the logistics, content, quality, and scientific integrity of their Satellite Symposium.
USCAP anticipates approximately 150-200 learners to attend each satellite symposium. Total attendance anticipated at the 2023 Annual Meeting is approximately 4,000 pathologists.
The fee for hosting a Satellite Symposium is $65,000.
This fee includes the following:
- Room that seats 150-200 (set in rounds)
- AV Package
- One (1) screen
- LCD projector in 16:9
- Laser pointer/mouse
- Laptop
- Confidence monitor on head table
- Registration through general registration site
- Listing of symposium title, description, faculty, and agenda in online program
- One-time use of USCAP Annual Meeting attendee mailing list
- Registration and promotional emails sent by USCAP
- Promotional slide on rotating monitors at the Convention Center
- One (1) dedicated app alert sent to all 2023 Annual Meeting attendees who have downloaded the app
- One (1) month of targeted advertising (graphic banner ad remarketing)
- Two (2) lead retrievals
- Complimentary meeting space for slide review
Time Slots
All Satellite Symposia will be held in the morning from 6:00 – 7:45 AM on the following days:
- Monday, March 13
- Tuesday, March 14
- Wednesday, March 15
In order to apply for a Satellite Symposium slot, companies will need to complete the application form. Slots will be assigned once funding has been approved.
Program Content
USCAP does not provide continuing medical education credits for the Satellite Symposia and assumes no responsibility for credits offered by other organizations. The accredited providers are responsible for content, quality, and scientific integrity of their Satellite Symposium. USCAP will not suggest or approve content or speakers for activities. USCAP requires that all symposium attendees are also registered for the 2023 USCAP Annual Meeting.
The following are required for each Satellite Symposium:
- The program must be presented in an objective, balanced, and scientifically rigorous manner.
- The content and format of the CME activity and its related materials must promote improvements or quality in health care and not a specific proprietary business interest.
- Speakers must disclose relevant conflicts of interest prior to the CME activity. A written disclosure slide must precede each presentation.
- References must be included with data and slides.
- Evaluation of symposium content and speakers as well as a final attendance count must be provided to USCAP.
- The program cannot promote a specific drug product or service and must meet the policies and guidelines of ACCME.
Promotion and Marketing
As a promotional benefit to the companies hosting a Satellite Symposium, USCAP will provide the following:
- Listing of symposium title, description, faculty, and agenda in online program
- One-time use of USCAP Annual Meeting attendee mailing list
- Registration and promotional emails sent by USCAP
- Promotional slide on rotating monitors at the Convention Center
- One (1) dedicated app alert sent to all 2023 Annual Meeting attendees who have downloaded the app
- One (1) month of targeted advertising (graphic banner ad remarketing)

Signage
- One (1) 38″ x 87″ meter panel is permitted directly outside of the symposium room.
- Three (3) 22″ x 28″ directional signs are permission at approved locations. These can be placed 24 hours before the program.
USCAP must review and approval all promotional materials created including, invitations, announcements, fliers, websites, and signs. Please allow up to five business days for USCAP to review.
Registration and Logistics
Registration and Room Setup
- USCAP Annual Meeting general registration is required for attendance to the Satellite Symposium.
- Registration for the Satellite Symposium will be offered through the USCAP registration site.
- All symposium rooms will be set for 150-200 in rounds. Any requested changes to the room set can be arranged directrly with the venue.
Logistics
All logistical arrangements are the responsibility of the Medical Education Company. Any additional AV requests for food and beverage needs should be communicated directly with the appropriate vendor. USCAP will provide all necessary contact information to the provider upon approval of funding.
Food and Beverage
If food and beverage are served at the event, all arrangements must be made with the approved food and beverage vendor and any additional costs are the responsibility of the sponsoring company.
Audio/Visual
The Satellite Symposium fee includes the following AV:
- One (1) screen
- LCD projector in 16:9
- Laser pointer/mouse
- Laptop
- Confidence monitor on head table
Enduring Production
If you would like to record the program, USCAP works with the recording vendor Kaminsky Productions. They can be contracted to record and produce your activity. The cost for this service is $12,500. The fee includes the following:
- Video and audio capture of the slides and speakers
- Post-production
- Delivery of mp4 and raw data files four (4) weeks after date of activity
Cancellation Policy
Cancellations of confirmed programs after February 10, 2023, are subject to a $30,000 cancellation fee. Cancellations must be sent in writing to [email protected].
